The information players share when they register is personal and private. Accordingly, there are GDPR rules that regulate how this data is stored in the backend of the platform.

To be GDPR compliant, Playable cannot store data for a longer period than necessary.

This means that registration data can be saved in the platform only for a limited period of time. By default, registration data is deleted 30 days after your campaigns expire.

How to change the data retention period

You can change the data retention period under the Advanced tab in the campaign backend. You can:

  • Modify it to 30 days after players register

  • Extend it to 60 days or 90 after the campaign expires

  • Shorten it to 7 or 14 days after players register

What happens when the data retention period ends?

Players Data

When the data retention period ends, individual player data (registration data + game data) is deleted from the platform.

It is important that your export this information before either manually or through integrations.

Campaign Analytics

Even if individual player data is deleted, the platform saves a copy of the campaign analytics (Activity > Statistics tab).

This way you can continue to see how many total visits and registrations your campaign had.

Game data statistics

Game data statistics, as campaign analytics, are saved in the platform even after the data retention period ends.

Remember that game data statistics is only available for some game concepts, mostly knowledge games. To know more about this topic, read this Help Center article.

Re-activating Campaigns

When your campaign is live, you can pause and reactivate it according to your needs.

However, when the data retention period ends, the platform locks the campaign, so that you cannot reactivate it.

Instead, you will have to make a copy of the campaign if you want to use it again.

How does data retention work in always on campaigns?

Always on campaigns never expire. The campaign will continue to collect more and more registrations.

This does not mean registration data never expires. By default, data collected through the registration form will be deleted 30 days after it is collected.

Therefore, you need to set up an integration to send the data over to another system, otherwise you would have to constantly export the registrations every month.
